Terms and Conditions

The following Terms and Conditions apply to all Bookings made direct by telephone or through our website.

Please read this information prior to your arrival.

A Booking means the booking for accommodation, functions and/or any other services or items made with us.

Booking Agent means any third party booking agent though which you may have made a Booking or Reservation of any kind.

Contract means the Booking and these Terms, and any other terms and conditions stated to apply to the Booking.

Hotel means the premises and our restaurant for which your Booking is made.

Website refers to www.lasswadecountryhouse.co.uk , which is owned by us, relating to us a Restaurant with Rooms. Any reference in the Terms and Conditions to Hotel is for the purposes of our Trading name of Lasswade Country House Hotel but it is referred as Lasswade Country House, Restaurant with Rooms and not Hotel.

VAT for business purposes, we are registered exempt therefore, no charge will be made or shown to the Client/Agency or Guest.

All bookings at Lasswade [referred as the Hotel] are subject to these Terms and also applicable to a booking made through a Booking Agent. We also have the right to require full payment in advance or a 50% deposit at the time of Booking in certain circumstances or if the Booking includes the supply of certain items or services. No Booking shall be treated as confirmed until the details and/or payment/deposit described in this paragraph have been provided and payment received.

Deposits: 50% will be deducted from your debit/credit card and used for security of your room(s) For Events and Royal Welsh Show this is non refundable within 21days of the Event, with the balance to be completed no less than 7days prior to the Event. Once a booking has been made by telephone it will be treated as provisional for 48hrs only. After that time it must be guaranteed in writing/e-mail by yourself or your company along with a deposit or full payment. Should we not receive any confirmation of booking within one week we reserve the right to cancel the reservation and re-let the room.

Room prices shown are based upon two sharing a room and full Breakfast. Family or Single room quoted as given. Single occupancy supplement is applicable at our discression.
Winter Offers available upon request from October-March only. For Royal Welsh Show week in July and other Event weekends, we reserve the right to amend prices from the standard charge as rooms are premium.

Charges & Booking

The prices displayed on the Websites are on a room basis only and may vary according to demand and season. Any meals, service and VAT are not included.

A minimum length of stay, deposit, cancellation charge and other conditions may apply to certain rates, or dates as specified. Once a rate is selected on the Websites or over the Telephone, the total for your requested stay shall be displayed on the reservation confirmation letter/e-mail. Prices are charged in the local currency.

Price lists for additional items, such as restaurant meals and room service, are on display at relevant locations within the Premises and are will appear on the final invoice.

Prices displayed on the Website, in brochures, price lists or any other sales literature are correct at the time of display. We reserve the right to alter prices from time to time without notice. However, once we have accepted your order, we will not change the price that applies to such order unless required to do so by law (for example, where there may be a change in the rate of any applicable taxes). We make every effort to maintain prices but prices may occasionally move up or down. All prices displayed are inclusive of the local tax or taxes at the prevailing standard rate

Cancellation charge: We reserve the right to charge for any cancellation of booking for whatever reason, as follows:

Please note that late cancellations (within one week) will be charged in full if we are unable to re-let the room.

There is no cancellation charge for up to one week prior to your arrival date unless other terms apply by the Hotel. However, this will not apply for public holidays, special events and Royal Welsh week in July. Should the occasion arise where, we may be required to cancel any booking due to any unforeseen circumstances, force major, illness or any other cause, we will endeavor to inform you in writing or telephone and return your deposit. Cancellation policy varies according to the rate and stay date that is booked and/or according to the cancellation policy of any Booking Agent through which you have made a Booking. Please refer to the cancellation policy as is stated on your reservation confirmation and Booking source and/or your Booking Agents cancellation policy where applicable.

Where a pre-payment is required, this will be charged to the credit/debit card supplied at the time of the Booking. Cancellation outside of the stated cancellation policy or on-arrival will result in the forfeiture of any prepayment.

Payments: The Client will settle the invoice on departure unless other arrangements have been stipulated by the Hotel or prior notice has been given by the Clients Company in writing by letter, e-mail.

The Hotel reserves the right to interest on any overdue account. The Hotel reserves the right to refuse issuing an invoice to the Clients Company where it is redeemed necessary. To which, the Hotel will advise in writing that the Client must settle his/her own account on departure.

All major debit/credit cards are accepted by the Hotel but, we do not accept American Express

Our Policies

CHECK-IN TIME

Check-in time is after 2 PM. (unless prior arrangement)

CHECK-OUT TIME

Check-out is before 11 AM. On departure, should you intend to stay in the room later than 11.30am, a levy of £50.00 will be made on your invoice (unless prior arrangement).

In the interests of security and to prevent fraud, at the time of check-in, guests may be required to confirm their identity by completing a registration form and they must also provide their passport/identity card/driving licence. If guests are travelling from outside the UK, Ireland or any country in the Commonwealth we are also obliged by law to require guests to provide the number and place of issue of your passport/identity card and details of their next destination. These records will be kept for at least 12 months and may be disclosed or made available for inspection by any police officer or as otherwise required by applicable law in connection with the prevention or investigation of crime.The information above may be requested for each member of your party over the age of 16 and we reserve the right to refuse entry to persons who cannot provide the information set out above. All personal information stored and used by us internally only in accordance with our Privacy Policy and which is available on request by hardcopy only. Any personal data we have is secured by ourselves and never leaves the building. After 6yrs all data/information will be securely destroyed by the Owners of the Hotel.

As far as we are aware under the EU legislation 2011, our Websites does not use cookies to track activity.

BEDROOMS

We like to think that our guests are able to enjoy our views, tranquillity and relaxation away from their hectic lives of today.

We serve breakfast in our Conservatory daily from 8am until 9am. However, if anyone needs to eat earlier, we are happy to provide Breakfast by prior arrangement on check in

Parking: The Hotel has its own off road car park with limited spaces up to 6 cars subject to availaibility, there is no gurantee however, overflow parking is available in the quiet road opposite. Cars and their contents areleft at the owners/customers own risk. The Hotel does not accept responsibility for any loss or damage to parked vehicles on or off site.

Dogs are not permitted in the Hotel however,there are execptions, but it is at the discretion by the hotel owners when you talk to them by telephone. We do provide Indoor Dog Kennels at no extra charge but we do ask you to provide bedding and food and it is the Dog owners responsibility to clean all their mess. Dogs must not be allowed inside the hotel or in the garden at anytime and they should be kept on a lead whilst on the premises.

Food & Alcohol brought into the premises is not permitted unless by prior arrangement with the Owners. If you are found to be in possession of some, you will be subject to a corkage charge (min. £10) or at owners discresion.

This is a non smoking property whose policy applies throughout the building. Smoking is permitted outside the porch area where a bin is provided for stubbs.

Accessibility: Due to the original architecture, our property only has disabled access on the ground floor (there are no ground floor bedrooms or toilets or lifts) You may contact us on 01591610515 any specific questions.

Guest Behaviour: Guests are requested to conduct themselves appropriately at all times and to comply with our procedures or requests with regard to conduct and respect for our other Guests and the property of the Hotel. Our hotel enforces a NO IN-ROOM PARTY POLICY to ensure we can protect the hotel and our guests at all times. In the event of a disturbance the owners/management reserve the right to give notice of eviction after an initial warning. We reserve the right to authorise a charge to your debit/credit card for any damage incurred to your room or the Hotel property during or after your stay (including limitation specialist cleaning) or any items missing.

Children: Any children under 4 years old can stay for free if using existing bedding. Please note that cot can be provided by prior notice or you are welcome to bring your own. their Children between 4 and 12 years will be charge as additional person unless staying in family room (which has 1 single bed and 1 double bed). Guests over 16 years are considered as adults and therefore required to have a separate room. Please check the individual room policy for more details. Cot can be provided upon request.

Parties/Functions & Meetings

For any Groups (other than accommodation bookings which have a different deposit rate),Meetings or special Functions, a deposit of £10.00 per person is required along with a guaranteed number of delegates/guests attending. The Hotel reserves the right to cancel any booking should a deposit not be received within 7 days. The Client will be issued with one invoice, immediately after the function and payment must be settled within 28 days of the invoice date.

Provisional numbers are indicated on the booking form. The Hotel reserves the right to set a number to be charged for the event.

Any reduction in numbers in the last 14 days before the event (for whatever given reason) will be charged for as the agreed number booked

The owners and management can not be held responsible for any loss, damage or liability to property, persons, whilst on the hotel premises. This includes Cars parked on property.

Force Majeure: Lasswade (the Hotel) accepts no liability and will not pay any compensation where the performance of its obligations is prevented or affected directly or indirectly by or as a result of force majeure or any circumstances beyond its reasonable control including, but not limited to, flood, earthquake, extreme adverse weather conditions, natural disasters, other acts of God, acts of terrorism, fire or failure of electric power, gas, water, or other utility service, plant machinery, computers, vehicles or any collapse of building structures.

Limitation and Liability: Lasswade Country House will not be responsible for the loss or damage of any property left in the Hotel other than as required under any applicable law.
We will not be liable for any indirect, consequential loss or pure economic loss.
